On May 25, 2018, a new European regulation on personal data, The General Data Protection Regulation (GDPR), came into effect.
At Xterna A/S we handle all personal data in accordance with the EU’s General Data Protection Regulation (GDPR) and the Danish Data Protection act.
When you send your CV, job application, and other material to Xterna A/S, we use and store your personal information for the purpose of finding a position to match your specific profile. We recommend that you only enclose information in your CV, application, and other material that is relevant to the type of position you are looking for. Please consider if you have shared any unnecessary information that might be sensitive, for instance related to health or family relations.
Xterna A/S may disclose your personal information to third-party data processors that work on our behalf, such as payroll system vendors. On documented instruction from Xterna A/S, these data processors may legally access and process your personal data while carrying out tasks to support our process. The data processors are not permitted to use your personal information for any other purposes. Xterna A/S has signed data processing agreements with all third-party data processors. If you are considered for a position with a client of ours, Xterna A/S will disclose your personal information to the company/prospective employer for the purpose of finding a position for you. In this case, the company in question is responsible for processing your data independently.
Transfer of data to third countries (outside the EU/EAA)
Your personal data will not be transferred to non-secure third countries.
For how long do we store your job application?
We store your personal information for 24 months or for as long as it’s necessary according to the recruitment process. Your personal information will be kept up to date. We suggest that you contact us if the information that you have shared in your CV, your application, or other relevant material is no longer valid, so that we can make sure it is brought up to date without delay. Your data will be deleted after 24 months if you have not been employed.
The personal data of temporary workers, who are offered employment after the temporary agreement ends, will be stored for up to five years unless other agreements have been made.
Your rights as registered
As registered in our database, you have the following rights:
- Right to access your personal data stored by Xterna A/S
- Right to correct any personal information that is not valid
- Right to deletion, in certain circumstances (the right to be forgotten)
- Right to object
We have taken the necessary technical and organizational security measures and use strict security procedures to prevent any unauthorized access, deletion, forfeit, change, or misuse of personal data. Your data can only be accessed by employees authorized to use the data for purposes related to the work of Xterna A/S.
